Job Summary
We are seeking a highly organized and multi-functional HR cum Office Assistant to manage end-to-end recruitment, client coordination, CRM operations, and office administration. The role is critical in ensuring seamless manpower deployment, efficient client servicing, and smooth backend operations.
Key Responsibilities
1. HR & Recruitment Operations
Manage end-to-end recruitment for security guards, supervisors, bouncers, and housekeeping staff
Post jobs on platforms such as Apna and other hiring portals
Screen candidates and coordinate interviews
Maintain employee database including KYC, documentation, and joining records
Handle onboarding, induction, and uniform/document issuance
Track attendance, leave records, and support payroll inputs
Manage attrition, replacements, and urgent hiring requirements
2. CRM & Client Coordination
Maintain and update client database using CRM tools or MS Excel
Follow up with leads and existing clients regularly
Track inquiries, quotations, and conversions
Coordinate with operations team for manpower deployment updates
Address client queries and complaints in a timely manner
Prepare client reports and service updates
3. Quotation & Documentation Management
Prepare professional quotations, proposals, and cost sheets
Draft agreements, contracts, and work orders
Maintain records of client communications and approvals
Coordinate agreement finalization within defined timelines
Assist in tender documentation (if applicable)
4. Office Administration
Manage day-to-day office operations and documentation
Handle calls, emails, and WhatsApp communication professionally
Maintain physical and digital records, files, and registers
Coordinate with field staff, supervisors, and vendors (uniforms, ID cards, etc.)
5. Reporting & MIS
Prepare daily, weekly, and monthly reports:
Recruitment status
Deployment updates
Attendance and manpower reports
Maintain MIS reports in Excel/CRM systems
Share billing inputs with accounts team
Additional Requirements
Comfortable with occasional field coordination
Ability to work under pressure and handle urgent requirements
